Terms of Reference for the Africa Media Convention Convener and Events Organiser Consultant
The Third African Media Convention (AMC) will take place in Accra Ghana from May 12-16 2024. The Convention, which is being organized by African Media Stakeholders under the overall coordination by the Ghana Journalists Association and the AMC Steering Committee, will bring together media experts, scholars, students, journalists, journalists’ unions and associations, editors, relevant public and private sector actors, including the cooperating partners from around the African continent and beyond . A Concept Note for the Convention is attached herewith for easy reference.
The Consultant shall play the role of Conference Convener for the convention. In this capacity, the consultant shall be responsible for the overall coordination of the planning and preparation for the Convention, in close consultation with the various committees and partners involved in the preparations for the convention. In particular, the Consultant shall:
Partnership and Resource Mobilisation:
Work with relevant committee to finalize the budget for the convention, based on the details and scope of the convention outlined in the Concept Note.
Support and assist the relevant committee to mobilize financial and non-financial resources for the Convention
Coordinate with the committee to finalise the list of potential partners, disseminate and follow up on the related communication
Reach out and engage with potential partners with a view to encouraging them to partner with the Africa media stakeholders in organising side/pre events
Venue and related facilities:
Work with the local organizing committee for the convention to ensure the identified convention venue facilities, equipment, IT required are in place for the successful conduct of the AMC, including interpreters and interpretation equipment. In this regard, the consultant shall ensure that competent vendors are identified and contracted for all the logistics required for the convention and that the required services are provided satisfactorily and in a timely manner.
Programme
Support the relevant committee to draft and finalize the programme for the convention. In addition, Coordinate with the programme’s committee to draft and send out invitations to prospective participants and speakers.

This will include the preparation of the visibility materials and online media posts including a web news and registration page that should on the page. In this regard, the consultant shall also support and assist the relevant committee to develop and implement a communication plan for publicising the convention before and during the convention as well as the outcome of the convention.
Logistics (transport and accommodation) – Work with the relevant committee to arrange international and local transportation for delegates attending the Africa Media Convention as well as making suitable accommodation arrangements.
Check list– Coordinate with all the subcommittees and prepare a check list with deadlines and responsible focal persons for the successful convening of the AMC.
